Seeking an Organized Office & Project Manager

We, 1-­degree shift, are an entrepreneurial organizational effectiveness firm that
specializes in purpose, leadership, culture and strategy development with medium sized
companies. Our purpose is “to inspire & equip organizations with the agility to transform in our VUCA
world.” We collaborate with C-­suite level executives and their teams to identify and solve problems
throughout the organization. Some of our clients include: Mastercard Canada;; Tourism Toronto;;
Equifax Canada, Woodbine Entertainment and Aramark Canada. We collaborate with our client
typically by: establishing a benchmark (using various assessments), developing a plan, leading
training and facilitation sessions to activate the desired change, and continuously measuring the
ongoing culture development within the company.

1-­degree focuses on reducing the entropy (the noise or friction in organizations from working well)
and increasing productivity & employee engagement scores. Ultimately, we aim to help shape
GREAT workplaces that are healthy, meaningful and sustainable. We believe that by improving the
culture and the employee experience, it has a direct impact on the client experience & financial
1-­degree has been in business since the Fall of 2014. We are entrepreneurial & in high-­growth mode.
Our current team is 7 core people, all of whom are independent contractors to 1-­degree:

• 4 founding partners who are all 25% owners – we design/deliver sessions, and conduct
business development to grow our client base (Tim, Nick, Suchitra and Lorella)
• 1 Shift community member who is the first of many partners who will grow our ability to
find and deliver to new clients (Simon)
• Louise Lumba – a virtual finance coordinator (invoicing & financial management)
• Kitty Mckechnie – a creative/art director – for website, participant materials, etc

The 1-­degree team is looking for someone to help take on client operations to improve our
efficiency & core processes. Currently, the 4 partners are spending too much time doing
operations, administrative & project coordination work. The goal is to recruit and onboard a first-­
class Operations/Project manager by July 31, 2017 to act as a leader and catalyst in all things that
relate to Operations and Administration. This means direct contact with the partners, being able to
work from the 1-­degree office and at home virtually and being able to fit the designated hours into your
schedule throughout the week. This will become a full-­time role. Initially, it will be structured as a
contract role for the first 6 months. If the person performs well and it is a win/win, our
intention is that it will evolve into a full-­time role.

Overall profile

The 1-­degree team is looking for someone who is passionate, a learner, goal oriented, highly
organized, LOVES detail & follow-­up and has experience working in a start-­up environment. They
need to have a high sense of urgency to deliver excellence! According to Colours, this person is a
Gold and “gets it done.”


• 5+ years of work experience -­ at least a couple in an entrepreneurial fast-­paced environment
• Preferably experience & comfort in interacting with senior executives
• Experience with scheduling and strong project management aptitude
• Comfortable with little structure, having to be proactive with challenges and opportunities
• Has planned and coordinated events of 50+ people

Roles & Responsibilities

Administration & Office Management

• Coordinate Scheduling -­ for client deliveries, prospect appointments for 1-­degree team
• Organize travel arrangements for 1-­degree team where required
• Templates & processes -­ Be proactive in creating templates, checklists & processes to
streamline our operations, how we do things
• Problem solver with technology where required – with Microsoft 365 Exchange;; sf.com IQ;;
other technologies & platforms

Project Management

• Collaborate to establish and manage a client management process -­ includes client budgets,
progress invoicing, revision management and work closely/manage the finance coordinator
• Develop & execute client project plans & coordinate necessary design/delivery resources
• Project management for client deliveries – organize onsite logistics;; design a template for
onsite logistics to be used consistently;; confirm meeting locations/AV needs;; bring value to
clients in venue options where required;; organize printing of materials;; pre/post work;; help
ensure high quality client communication before and after deliveries;; invoice timing with Louise
• Organize & track assessments with our partner Barrett’s (training to be provided)
• Research – (ie. looking into legality & regulations for delivery in US and other geographies
where required)
• Help close loops on contracts and project delivery timing

Client management

• Client management information system -­ Collaborate with Tim & team to implement a common
client management system (CRM) to streamline client communications & pipeline management
• Consistent client feedback -­ Be the project lead to coordinate & implement a new Feedback
form – design, use and consolidate feedback forms after sessions

Marketing coordination

• Coordinate some marketing projects & outside partners such as social media
*They will need to track time against various “clients” as time will be billed and tracked accordingly.
Skills required:

• Proficient in Word, Excel, Outlook, PPT & aptitude to pick up new programs


• Seeking a university or college graduate.

Job Type & Compensation

Full time role – approximately $40,000 per annum + some form of bonus of additional $6,000-­$8,000
based on performance. Structure initially as an independent contractor, evolving into full time role

Reporting/Job Location

• Toronto (both virtual and on site at 1920 Yonge St -­ minimum 2 days in office per week)
• This role will report to Tim Magwood and serve the entire 1-­degree team.
